Automated ONT Fulfilment & Courier Dispatch Workflow for Chorus

Chorus relies on timely delivery of customer equipment, and accuracy is critical. To support this, Orangebox designed and implemented a fully automated fulfilment workflow that manages incoming requests, prepares courier shipments, and provides tracking updates to the client.

To create a fully automated, secure fulfilment workflow that captures customer equipment requests directly from email, processes them accurately, and enables reliable same-day dispatch. The solution needed to remove manual handling, improve visibility across the workflow, and provide clear tracking information back to the client.

Solution

Automated Request Capture
Customer equipment orders are received throughout the day via a dedicated inbox. Each email includes key details such as the customer’s name, delivery address, contact information, and equipment type.

An automated routine monitors the inbox, reads each incoming message, extracts the required data, and converts it into a structured, machine-readable format. This ensures all customer information is captured accurately without manual input or delays.

Secure Data Processing & Monitoring
Each structured request is processed through a secure ingestion workflow. The system reads the data, inserts it into an internal database, and generates detailed activity logs at every stage.

These logs feed into internal monitoring systems, providing real-time visibility of request volumes, processing times, and delivery trends.

Daily Fulfilment & Courier File Generation
At 12:00pm each day, the system automatically compiles all requests received since the previous cycle. It collects and groups orders by equipment type, generates a courier-ready upload file in the required format, and transmits it directly to the courier platform.

At the same time, print-ready documentation for packaging and labelling is produced, ensuring items are dispatched that afternoon. This creates a fast and reliable daily fulfilment cycle with no manual sorting or data handling.

Courier Reconciliation & Tracking
The following morning, an automated courier summary is received, including tracking numbers, delivery scan data, and confirmation of items accepted into the courier network.

The system automatically matches this information to the previous day’s dispatch records, attaches the correct tracking number to each customer request, and sends a tracking file back to the client.
